How it works

Three steps from capture to evidence

Capture

Staff choose photo (handwritten note or printed form), PDF upload, voice recording, or typed text. The source file is stored with the record; nothing is discarded.

Extract and classify

OCR (for photos/PDFs) and transcription (for voice) pull the text. The AI pipeline classifies the note against the 34 CQC Quality Statements, assigns a fidelity score, and flags any clinical or safeguarding risk signals.

Manager review

The note enters the review queue as PENDING_REVIEW. The manager sees the original capture, the extracted text, the AI's classification, the fidelity score, and any flags, then approves, edits, returns to the carer, or escalates to an incident.

What it replaces

The old way

The end-of-shift paper shuffle: notes written during rounds, collected into a folder, handed to the manager to read, then either filed or retyped. Quick Capture closes that loop on the device in the carer's pocket before the shift ends, and the manager sees it in the queue without anyone walking a folder across the building.

Regulatory grounding

What this means for inspection

Quick Capture produces evidence that maps to Regulation 17 (Good Governance): records that are accurate, complete, and contemporaneous, with a manager review trail. Every note carries the original source capture, the processing provenance, and the manager's verification decision, so when an inspector asks "how do you know this was reviewed?", the audit trail answers that.

It also supports the Safe and Effective Staffing quality statement: carers can capture care evidence at the point of work rather than after a shift ends, which keeps records closer to the moment of care.
